Administration Circular No. D.20 .
For circulation to Heads of Divisions

DISTRIBUTION OF EXTERNAL REPORTS RECEIVED IN THE MINISTRY

The attached list of Reports, etc. received in the Ministry from outside sources is circulated on the Director- General's instructions for consideration by Heads of Divisions and others concerned.

It is intended to revise the present circulation of these Reports to secure the utmost efficiency and economy. All Officers whose work requires it must, of course, see the Reports which they need at the earliest possible stage; but the supply of copies must be reduced to a minimum consistent with this end. In some cases, Officers may find from this list that there are Reports they would wish to see not at present circulated to them. In others, Officers may no longer need to receive copies at present circulated to them, or it may be sufficient to circulate one copy to a number of officers in the same Division.

Will officers be good enough to reply covering these points and suggesting any improvements in the arrangements which may occur to them. Replies should be sent to Mr. R. D'O. Butler, Room 138, by 30th April. Replies from Heads of Divisions or Branches should cover their respective subordinate staff.
